Support and Administrative Duties: Handling normal Institutional Research and Planning Office (IRPO) functions such as timesheets and filing (hard and soft) and assisting with upkeep of IRPO web site and files; Supporting set up of meetings, taking meeting minute, etc. for committees & working groups as required; Learning and applying knowledge of department, division, and college’s procedure and key personnel; Editing draft documents for accuracy, completeness and clarity; Organizing, assigning, directing and reviewing the work of work-study students; Assisting in planning, setup, management and following up on internal and external meetings and conferences of the college and through contractual arrangements. Serve on committees.
Budget/purchasing/monitoring type tasks: Ordering and following up on supplies, equipment, service requests, etc.; Preparing and following up for travel requisitions, vouchers, personnel actions, special contracts, etc.; Tracking and monitoring office and contractual expenses and performing monthly reconciliation with business office; Assisting in the overall creation of the office budget.
Regulatory environment: Being familiar with the requirement governing the functions of the office and documentation requirements of the college including college policies and procedures, IPEDS, FSM Government, WASC/ACCJC (accreditation) and US federal regulations.
IPEDS/data collection/reports: Backing up preparation of IPEDS surveys; Providing technical support for data management system within in the office; Providing technical support for grant oversight and development; Assisting with development, administration, analysis and reporting of surveys; Compiling and/or assisting with compilation of quarterly, annual and other required reports for IRPO and the college; Assisting with the coordination of the data/required reports collection of IRPO and in conjunction with other offices.
Graduation from an accredited four year institution with some course work in the field of assignment. Two years of progressively responsible professional experience in a related field. Able to work independently and is detailed oriented. Knowledge of principles and practices of modern office management. Ability to understand and follow complex instructions; communicate effectively; analyze, interpret, and use sound logic and judgment in application of a variety of financial/administrative rules and regulations; work with diverse faculty, staff and students; work as part of a team in accomplishing tasks and functions. OR, any equivalent combination of education and/or experience which provides for the above.
